Secured board approval for a 66% increase in Kapitus's technology budget six months into the agile transformation by quantifying the value of backlog items that exceeded the team's capacity to deliver.
01
Challenge Six months into the agile transformation at Kapitus, a $360M PE-backed fintech lender, the organization could see its work clearly for the first time. Ten persistent Scrum teams were delivering more value than before, but the backlog of valuable work still far exceeded what those teams could deliver. The question for the board was not whether the technology organization was productive; it was whether funding more capacity would produce a return. Making that case required showing, in business terms, how much value was waiting in the backlog that the current budget could not reach.
02
Action I built the investment case from the backlog itself:
Value on Every Backlog Item: Worked with Product Owners to attach a business value to backlog items, expressed in the terms the board used to run the company, so that the backlog read as a portfolio of investments rather than a list of tasks.Capacity Made Visible: Used the delivery data the transformation had produced, including sprint throughput and productive time, to show precisely how much of that portfolio the current teams could deliver in a planning horizon. The Gap as the Case: Presented the difference between the value in the backlog and the value within reach as the investment opportunity: funded capacity would convert specific, already-prioritized items into outcomes.Board Presentation: Took the case to the board after six months of the transformation, with the delivery improvements to date as evidence that additional budget would be spent by a team that had shown it could deliver.03
Results The board approved the investment:
66% Budget Increase: Secured board approval for a 66% increase in the technology budget.Six Months to Approval: The case was made and approved six months into the transformation, using evidence the new operating model had generated.Backlog as Investment Portfolio: Established a durable practice of valuing backlog items so that funding, prioritization, and cost reduction decisions could all be made from the same view; the same backlog later drove a 40% reduction in IT licensing costs.Transformation Funded: The approved budget funded the capacity behind the transformation's later results, described in the Kapitus Agile Transformation case.In their words Recommendations from people who were there, in their own words.

April 2023 Read full recommendation from Rosa Chauvin Questions How was board approval for a 66% technology budget increase secured? Six months into the agile transformation, Michael Mancuso showed the board the business value of backlog items that exceeded the teams' capacity to deliver, presenting the gap between value in the backlog and value within reach as the investment opportunity.
Why did it take six months? The case depended on evidence the new operating model produced: persistent Scrum teams, visible backlogs, and measured throughput. After six months that data existed and showed the teams could convert funding into delivered value.
How does this relate to the Kapitus Agile Transformation case? The investment case was made during, and funded, the agile transformation that increased value delivery by 660% and productive time by 120%. The transformation case covers the operating model; this case covers the board approval.
